Job Description
The Project Coordinator is responsible to maintain clear and effective communication, tracking project tasks, milestones, and deliverables throughout the project lifecycle. This begins from the initial contract continuing to preconstruction, and through the assembly phase. The Project Coordinator, as the customer’s main point of contact, is instrumental in ensuring the project's seamless progression and timely completion.

Accountabilities:
Sales Handoff – 10% 
As the customer’s main point of contact throughout the project, the Project Coordinator is responsible for taking the handoff from sales after the contract is executed.
Preconstruction – 40% 
Accountable to lead projects through successful coordination of internal resources, contractors, AHJs, and other external partners as the customer’s advocate/liaison.
Construction – 50% 
Coordination for projects after products are shipped into the field for assembly, keeping projects on schedule and within budget while maintaining a high level of customer satisfaction.
Continuous Improvement 
Accountable to drive continuous improvement efforts regarding internal and external design, production, and assembly systems and practices.
 
Primary Responsibilities:
Sales Handoff – 10%
• Determine customer’s preferred method of communication.
• Schedule and facilitate an introductory meeting to discuss project expectations and customer specific contract adjustments.
• Identify any gaps or opportunities for clarification
• Ensure clean project and project task structure in online system
 
Preconstruction – 40%
• Direct, hands-on project management of projects, including coordination of project tasks with the design team, permit submittals and documentation preparation for construction.
• Work alongside Project Designers and Design Coordinators in daily project management activities including scope, process, permitting, inclusions, value engineering, etc.
• Maintain updates to Sales Orders, change orders
• Development of tools or resources to improve project phases including budget, scope, schedule, and progress of projects.
• Upload and update required NetSuite fields to measure, then post metrics as required for team alignment to achieve goals.
 
Construction – 50%
• Prepare and manage schedule expectations with customers, contractors, and internal production team with the goal of mitigating project risk.
• Conduct OAC meetings upon permit approval and as necessary throughout the project.
• Manage and document RFI’s, change orders, punch-list items, and other unforeseen conditions to avoid budget or schedule overruns and ensure strong customer satisfaction.
• Cultivate relationships with DIY subcontractors with the intention of growing our network of capable and experienced contractors.
• Work with contractors on site to monitor and maintain progress and ensure consistent and accurate project data entries into the system.
• Coordinate subsequent deliveries and other on-site activities throughout the construction phase.
 
Continuous Improvement
• Attend and contribute to LDMS huddles, metrics, and pareto charts.
• Support Kaizen Action Sheets as appropriate to drive incremental improvements.
• Execute tasks to drive the Project Management team’s performance targets and metrics.
• Identify, analyze, track, and report key team metrics to inform strategic improvements to the business.
• Find, develop, and implement new tools and technologies to support Project Management.
Establish partnerships cross-functionally as necessary to ensure project
